How OPRL Moved Hundreds of Live Subscriptions From Xero to WooCommerce Without Missing a Renewal

A not-for-profit running the world’s first labeling scheme that tells consumers what can and cannot be recycled, now internationally recognized and award-winning. Behind the labels sits a wide network of retailers, brands, manufacturers, local authorities, and the recycling industry, each one a member whose subscription had to survive the move.

What happens when everything at risk is already live?
Every subscription, login, and payment was in production. OPRL needed it all moved anyway.
Reconfiguring an entire subscription system mid-flight risked data loss, lapsed memberships, and duplicated charges. The move had to carry users, passwords, group structures, and GoCardless payment history over in one piece.

The real question
One wrong step could lock members out, lapse subscriptions, or fail payments, and every error would land on customer trust. The question wasn’t whether WooCommerce was the right destination. It was whether the journey could be made safe.
All in all, it came down to these 5 non-negotiables.
The entire subscription system had to move from Xero to WooCommerce without data loss or service interruptions.
Every user account and member group had to migrate with passwords and membership associations preserved.
Hundreds of active subscriptions had to carry over without billing cycle disruptions or duplicated payments.
All GoCardless transaction data and payment history had to transfer correctly for recurring payments to continue.
Members could never be locked out, lapsed, or charged wrongly, because every error would cost customer trust.
A systematic, multi-phase plan, tested before anything moved.

01 · Users & Groups
Members moved with their structure intact.
Every user migrated with passwords via WP All Import/Export’s Migrate User feature on the client’s Pro license, then converted to Subscriber roles. WooCommerce Memberships and Teams for WooCommerce Memberships replaced manually maintained groups, with custom scripts mapping parent users as team owners and child users as team members, and Membership Plans restricting content by team.

02 · Subscriptions
Live billing, mapped row by row.
WooCommerce Subscriptions took over recurring plans and renewals. Active subscription data was prepared with the client and mapped into an import file matching WooCommerce’s format, each imported subscription linked to its product so future renewals fire correctly, with most set to manual renewal per client requirements.

03 · GoCardless Data
Payment history that didn’t skip a beat.
The GoCardless plugin’s meta structure was analyzed to identify every field tied to subscription and payment records, then all critical meta entries were isolated and replicated within WooCommerce, keeping historical transaction relationships intact for a smooth handover of payment processing.
