Bilinguistics sold courses while SLP Impact ran memberships, both serving the same speech-language clinicians, and keeping them apart meant double the admin for one small team. Unifying them meant moving off Sensei LMS with every certificate and half-finished course intact.

The Client

An eighteen-year-old business, one community, two separate sites.

Bilinguistics and SLP Impact, led by Scott Prath.

Scott’s team has served the speech-language pathology community for eighteen years. Bilinguistics.com sells 63 courses individually, each carrying ASHA continuing-education credit, and SLPImpact.com handles memberships. The clinicians who study there go on to treat children with speech disorders, which is why Scott talks about his community rather than his customers.

In Their Words

Scott's own read on how this went.

What two years of shared problem solving felt like.

This project required a lot of new thinking and problem solving and we appreciate the team approach you use in helping us work towards building the different functionality we wanted for our community.

The Challenge

Eighteen years of learner records had to survive the move.

Two platforms could become one, provided not a single record went missing.

Course progress, certificates and memberships lived across two WordPress installs, and some learners held accounts on both. All of it had to consolidate while thousands of clinicians kept studying.

What could not break

Learner history.

  • Course progress
  • Certificates earned
  • Memberships and subscriptions
  • Duplicate accounts

What had to get simpler

Daily administration.

  • One dashboard
  • One learner journey
  • Institutional group sales

The real question

Scott could keep paying twice for every routine task, or unify both platforms while thousands of clinicians were mid-course. The question was whether eighteen years of progress and certificates could come across intact.

The Non-negotiable

All in all, it came down to these 5 non-negotiables.

01

Every course-progress record had to survive the Sensei to LearnDash move, including partially completed purchases.

02

Certificates already earned had to remain valid and attached to the right learner after consolidation.

03

Learners holding accounts on both sites needed one merged identity, with memberships and subscriptions intact.

04

Institutions needed a group purchase and management system built for districts, teams, and assigned instructors.

05

Both sites had to stay live throughout, because thousands of clinicians were mid-course across the two.

How It Came Together

Every move was rehearsed on staging before it touched a learner.

Three workstreams that carried every record into one platform.

01 · The Migration

Moving eighteen years of records without a gap.

A staging environment let the team simulate every scenario without touching active learners. Migration then ran in phases, users, courses, memberships and progress, with each step validated before the next began.

  • Rehearsed first Every scenario tested away from live learners.
  • Phased, not bulk Users, courses, memberships, progress, in order.
  • Validated each step Certificates and progress records checked on arrival.

02 · One Account, One Journey

Merging duplicate learners into single clean records.

Duplicate accounts were merged and subscriptions and certificates consolidated, so each learner holds one record. WooCommerce Memberships was then integrated with LearnDash Groups for role-based access across a single dashboard.

  • One identity each Duplicate accounts merged without losing access.
  • Everything in place Subscriptions and certificates under one login.
  • Role-based access WooCommerce Memberships wired to LearnDash Groups.

03 · Teams & Assurance

Group buying that districts and universities can run.

A custom multi-level group payment system handles institutional purchases, instructor assignment and group management. Extensive QA after every migration cycle is how the platform launched accurately, with no downtime.

  • Bulk purchasing Schools and organizations buy for whole cohorts.
  • Instructors assigned Group leaders manage learners directly.
  • QA every cycle Launched accurate, with both sites live throughout.

The Outcome

When the dust settled, here is what Scott's team runs today.

From twice the work to one clean system.

Before
bilinguistics-outcome-before

two sites, double the admin

Courses on Sensei, memberships on a separate site

Learners holding duplicate accounts across both

Institutions with no way to buy for a class

After

Running two platforms for one audience?

Move courses, members and progress onto one platform. Every certificate carries over, learners keep one login, and both sites stay live throughout.
