TagEvac manufactures the sweep evacuation system that tells a building which zones are clear. Color-coded tags, magnetic stations, one control board, and no electronics or batteries anywhere, so it works even when the power does not. More than 127 organizations rely on it, from Lloyd’s of London and Coca-Cola to the UK Government, and their fire wardens train on TagEvac’s own online course.

Why was one inbox doing the platform’s job?
A platform this size generates endless admin. All of it went through one inbox.

The real question
Under GDPR, learners have the right to have their data deleted. Here, exercising it meant emailing one person. The question was never whether one person could keep up. It was why the platform couldn’t honor that right itself.
All in all, it came down to these 6 non-negotiables.
Group leaders needed CSV and Excel report exports, because completion tracking across 127+ organizations meant manual compilation without them.
The reporting screen needed search, because finding one learner by name or email meant scanning full user lists.
Retraining needed bulk and individual progress resets, instead of rebuilding learner records from scratch every time.
Deletion had to become self-service for admins and learners alike, closing a genuine GDPR exposure.
Registration needed email confirmation and copy-paste blocking, so typos and unverified accounts stopped at the door.

02 · Self-Service
Control on both sides of the platform
Group leaders now reset progress for a whole group or a single learner and remove users through Delete Permanently controls, all behind confirmation safeguards. Learners delete their own accounts by typing DELETE, through the customized WP User Delete Accounts [wp_user_delete_accounts] flow that closed the GDPR gap.

03 · Registration & Order
Cleaner data in, a tidier platform throughout.
The department field became a configurable dropdown, and a confirm-email box now verifies addresses at sign-up, the “click to confirm this is you” safeguard the client’s own team suggested. Copy-paste is blocked across registration, login, and forgot-password pages, and courses finally sort chronologically.
